Well, we were at it again! We took part in another bridal expo. There were SO many people at this one. We got to talk with so many brides and planners. We count the days as a huge success.

Name Tag Day is a huge success!

A couple of weeks ago we made a huge donation in order to support a new holiday being started in New York, called Name Tag Day. June 1st has come and gone and the holiday was a huge success!

The whole goal of Name Tag Day is to get people to open up to each other and talk! On that day hundreds and hundreds of Instagram and Twitter posts poured in with pictures of people wearing name tags, and connecting.

We couldn’t be more pleased to hear that this event went well. Name Tag, Inc’s donation process is all about helping people.

We received this letter from them:

5 Tips for Planning a Conference

Planning a conference or other event can be a daunting task. This is especially true if you are looking to host dozens of speakers and sponsors on top of hundreds attendees. Whether your conference is big or small, the overall attendee experience needs to be good enough for them to want to come back next time.

After you have planned the theme of your conference, there are other steps to take. You need to book your speakers and find the perfect venue. Also, remember to market the conference on every medium you can. However, there are still a few more things you can do to make sure your conference will be successful.

5 Tips for Planning a Conference

Spend the time planning name tags

For conferences and events, name tags are rarely one size fits all. Differentiate between attendees, sponsors, VIPs and speakers. You can do this with different colored adhesive name tags or paper inserts for badge holders on lanyards.

By making groups of people distinguishable from others, people will feel like they are part of a group. On top of that, they will more easily recognize their relationship with your event. Name tags also better their relationship with other people attending the event, making it easier to network.

Provide a variety of refreshments

Keep in mind that not every guest will have the same dietary needs. If you put extra consideration into your refreshments, your attendees will notice. Try to plan vegetarian, gluten free and lactose intolerant snacks and refreshments. Chances are you will have at least a handful of people who fall into those categories. So they will appreciate your thoughtfulness.

Make sure your venue is connected

While planning a conference remember that outlets and cell reception are absolute must haves for conferences. We live in a digital age, and your attendees will likely want to be connected to the internet. Some may need their phones for most of the event. So, make sure they have somewhere to recharge. (Make sure they know where they can recharge, too.)

Hand out grab bags

This is a great way to bring in sponsors and to give something back to your attendees. Stuff those bags full of pens, notepads, brochures, venue maps, custom lanyards and coupons for local restaurants. You can bring in sponsors by asking them to supply a grab bag goody. This action also gives sponsors the opportunity to put their name on something every guest will see.

Provide some safe relaxation space

Designate an area in your venue for attendees to just sit and relax without having to network or be bombarded by anyone. Let your attendees balance work, networking and sanity on a comfy couch and with a bottle of water. It does not have to be much space, but let your attendees know it is there.

Keys to a Successful Spring Event

Are you getting ready for a spring event? Use these four keys to a successful spring event to make sure you and your staff get your feet in all the right doors.

Key #1: Communication at your spring event

Did you do your research on your target audience?

Having 500 people attend your event is great, but it matters less if your speakers talk about selling backpacking equipment to computer nerds. Present the correct information to the right people, and you will yield much greater results. Did you get the best speakers possible for your event?

A lot of times, you can get really great speakers just by showing you have a decent attendance rate. The better the speakers, the better the event.

Do not hand out brochures at the event itself. Your promotional items are the only long term marketing materials you should expect people to hold on to after the event. These items are things like lanyards, mugs, water bottles, anything permanent and reusable that people can get some use out of and that displays your company logo and information so you stay in mind.

Key #2: Identification

Is a name badge available for every person who walks through the door?

This is crucial. People need to be easily identified—you, your staff, guests, speakers, everyone. This can help you build and maintain your brand, among other things.

Take it a step further for VIPs. Consider badge ribbons for your speakers, board members and important guests to help them stand out and feel appreciated. This helps in the long run, as the more effective speakers will want to simultaneously come back and help your cause and their own. Give as many options as your budget allows. Magnetic fasteners are great; just be aware that some people have pacemakers. Have another option available for them (pin, clip, etc.).

Key #3: Staying Organized

Do not try to wing it.

Do your guests know the event schedule? Have one prepared and available well before the event date.

Numbers matter. Get an accurate headcount and pass this information on to your caterer and purchasing agents. Too much or too little of anything can get you into a whole heap of trouble.

Assign seating. At least organized by guest category. You will want all of your speakers sitting up front, probably in chronological order and so forth.

Spell it out. Are your staff and volunteers trained and prepared to do their assigned tasks? Having job descriptions for anyone involved helps move things along without taking up your time for constant reminders and explanations.
